Using GL Setup and User Date Ranges – if using Inventory

Rules

·        Use GL Setup date range to control access to post inventory

·        Use User date range to control user’s access to a period overall

 Why

1)     NAV posts GL according to the posting date of the document (except for (2))

2)     NAV posts the inventory journal within the date range indicated by the GL Setup date range, providing this does not conflict with the user’s individual date range

Scenario

Let’s take a simple example. You want to post a sales invoice on the last day of the year,

31-Dec-09, so you set your posting date in the sales invoice to 31-Dec-09.

NAV has these settings:

  Allow Posting From Allow Posting To
GL Setup 01-Jan-10 31-Jan-10
User 01-Dec-09 31-Jan-10

A single sales invoice causes two separate journals to be executed:

Area Debit Acct Credit Acct Debit Credit
Inventory Jnl Cost of Goods Sold   Debit  
    Inventory   Credit
Sales Jnl Sales   Debit  
  GST   Debit  
    Customer   Credit

In the example above, the Inventory Jnl will post with a date of 01-Jan-10 and the Sales Jnl will post with a date of 31-Dec-09. Why?

 Let’s colour code the date ranges to show where the journal gets its key date from:

  Allow Posting From Allow Posting To
GL Setup 01-Jan-10 31-Jan-10
User 01-Dec-09 31-Jan-10

The sales journal is controlled from the posting date, and the User range. 31-Dec-09 is specified and fits into the user range.

The inventory journal will try for posting date, but must be within the GL Setup range. If the posting date is not in the GL Setup date range, it will change to the first available date in GL Setup, in this case 01-Jan-10, as long as the user is allowed to post to that date. There is no confirm message or warning!!

If the user range and lowest point of GL Setup range do not coincide, you would get a message similar to:

‘Posting Date is not within your range of allowed posting dates of Sales Header Documnet type “Invoice” …

 This may be a good thing! SOME CONCLUSIONS:

·        This author believes:
NEVER have a user (no matter how super!) set across two accounting periods.
That way you can prevent the potential schism described above.

·        Open new periods by moving GL Setup “Allow Posting To” forward AND

·        Allow access to a new period (one period date range ONLY) via User

·        Close inventory (all sales, purchase, transfers, manufacturing documents) before you move the GL Setup “Allow Posting From” forward

CAVEATS

·        Please note this advice ONLY applies to Vsn 5 and later. A different business logic applied in NAV for vsn 4 and before.

·        This change in business logic was introduced together with more (optional) functionality, such as Inventory Periods. Clients may wish to explore these facilities to see if they could be useful in their environment.

Permission for Sample Roles for Microsoft Dynamics NAV 2009 - Microsoft Article

The Permissions contain information about which objects (table data) each role can access within the database and the Roles equals Role Centers (User Profiles) in Microsoft Dynamics NAV 2009 Role Tailored Client.

What is the definition of Sample in this context?

The Permissions for Sample Roles covers:

  • The core version (WW1) of Microsoft Dynamics NAV 2009
  • Selected Role Centers
  • Selected tasks in the Role Center
    And therefore the following issues must be taken into consideration when planning the setup of the security system:
  • The Permissions for Sample Roles are not a final setup of security system, and additional work is needed to meet the customer’s requirements
  • The user will experience permissions errors if only the Permissions for Sample Roles are used to the setup of the security system.
  • That no legal or other agreements concerning the set up of the Microsoft Dynamics NAV Security System must be based on the Permissions for Sample Roles, such agreements must only be based on actual findings.
